Every business needs solid communications

When it comes to your business one of the most important things to get right is your communications. Success depends on being able to communicate easily and efficiently with your suppliers and clients as well as within the company. It ensures a good work flow and helps make everything in the office run smoothly and (for the most part) calmly. This is why it’s important to spend a bit of time looking at a) business phone systems and b) reliable cloud hosting for your website.

Let’s look at phone systems first. What are the key things to consider? Well, if you run a busy office with lots of employees then obviously one of the most important things you’ll need to be able to set up is an extension system so that everyone in the office has a direct dial number and can set up their own voice mail. This doesn’t mean you don’t need a central office number that’s manned by a receptionist but it does mean that some of the calls can be diverted away from the central switchboard when the caller wants to get through to one specific person. Advise your employees to be careful about who they give their direct dial number to so that they don’t spend the whole day answering phone calls that could have gone through to reception.

Other  useful features for a business phone system include things like call waiting, call forwarding, call back, caller ID and of course the all important call conferencing which allows a number of people to dial into a call at once. This reduces the need for face to face meetings, which can save a huge amount of time and money on travel.

When it comes to your business hosting, it’s crucial to make sure that you choose a reliable company and preferably one that’s based in the country so that you can be sure you’ll get the support you need if there is an issue. A lot of businesses these days rely hugely on their websites to generate leads and get customers, so if there is a problem with the hosting and your website goes down you could be losing an awful lot of money. And of course if the website is down it usually means your email is down too and we all know how frustrating lack of email can be.

If you decide to change your host because you’ve been offered a better deal, do as much research as you can before you make any decisions. No matter how attractive the deal looks now, it could end up costing you more in the long run.
